Privacy Notice
Reciprocity LLC, doing business as Recip.club ("we," "us," or "our"), operates a platform that private clubs use to manage reciprocal golf and dining arrangements with other clubs. This notice describes what personal information we handle, why, who we share it with, and what you can ask us to do about it.
It applies when you visit https://www.recip.club, use the platform at https://app.recip.club, use the Recip.club mobile app, or otherwise deal with us.

Summary of key points
Most of the information we hold about a member comes from their club, not from the member. This is the most important thing to understand about how Recip.club works. Club staff maintain member records in the platform so that reciprocal requests can be made and honored. If you are a club member, your club is the source of your name, contact details, and membership standing.
What we collect. Names, email addresses, phone numbers, job titles, membership details, reciprocal requests and reservations, billing information between clubs, and technical data about how you use the platform.
What we do with it. Run the platform: route requests between clubs, confirm reservations, send notifications, bill clubs for transactions, provide support, and keep the service secure.
We do not sell or share your personal information, and we do not use it for targeted advertising. We have no advertising technology on the platform.
We use AI features built on Anthropic's models. These are described in full in section 6.
Your rights. Depending on where you live, you can ask us for a copy of your information, ask us to correct or delete it, and appeal if we decline. Section 10 explains how.
1. Where your information comes from
From your club
If you are a club member or club staff member, your club provides most of what we hold about you:
- Name, email address, phone number
- Membership type, membership number, and standing
- Role at the club, for staff
- Whether your membership is in good standing for the purposes of a reciprocal request
Your club decides what to put in the platform and keeps it accurate. If something is wrong, the fastest correction usually comes from your club rather than from us — though you can always contact us directly.
From you
- Account details and contact preferences when you register or update your profile
- The content of reciprocal requests: dates, party size, guest names, and any notes you add
- Messages you send to club staff or to us through the platform
- Information you give us when you contact support, join a waitlist, subscribe to updates, or nominate a club
Automatically
- Log and usage data. IP address, browser and device type, pages viewed, actions taken, and timestamps. We keep this to run and secure the service and to understand how it is used.
- Device data. For the mobile app: device model, operating system version, and an app installation identifier.
- Push notification tokens, if you allow notifications.
The mobile app does not request access to your camera, your contacts, or your device location.
Sensitive information
We do not ask for sensitive information as defined by US state privacy laws — no racial or ethnic origin, health data, biometrics, precise geolocation, or financial account numbers.
Free-text notes on a request are the one place where a club could enter something a member would consider sensitive, such as a dietary requirement or an accessibility need. We ask clubs not to, and we treat anything in those fields with the same protection as the rest of the record.
2. How we use your information
- To run reciprocal requests. Route a request from a member's home club to an eligible host club, let staff review and approve or decline it, and turn an approval into a reservation.
- To keep you informed. Send email, SMS, and push notifications about the status of your requests and reservations. You control which of these you receive.
- To manage accounts. Create and authenticate accounts, apply the right permissions, and keep records accurate.
- To bill between clubs. Calculate transaction fees, produce monthly statements, and resolve billing questions.
- To provide support. Answer your questions and investigate problems.
- To keep the platform secure. Detect and prevent fraud, abuse, and unauthorized access, and maintain an audit trail of significant actions.
- To improve the platform. Understand which features are used and where people get stuck.
- To comply with the law and to establish, exercise, or defend legal claims.
- To send marketing communications, only where you have asked to receive them. You can unsubscribe at any time.
3. Who we share it with
With other clubs in the network. This is the point of the platform. When you make a reciprocal request, the host club sees what it needs to host you: your name, your home club, your membership standing, the details of your request, and your guests' names. Your home club sees the outcome.
With service providers. We use the following companies to run Recip.club. Each processes personal information only as needed to provide its service to us, under contract.

For legal reasons. If we are required to by law, or to protect our rights, your safety, or the safety of others.
In a business transfer. If we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction. We would tell you before your information became subject to a different privacy notice.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
4. Cookies and similar technologies
On our website at recip.club we use cookies for analytics and for our customer relationship tools, and you can accept or reject them through the consent banner. Our Cookie Policy lists every cookie we set and lets you change your choice at any time.
Inside the platform at app.recip.club we use only the cookies needed to keep you signed in and to keep your session secure, plus first-party product analytics that help us see how the platform is used. There is no advertising technology on any of our services.
Global Privacy Control
We honor the Global Privacy Control (GPC) signal. If your browser or extension sends it, we treat it as a valid opt-out request under applicable US state privacy laws and apply it automatically.
Do Not Track
There is still no agreed standard for Do Not Track browser signals, so we do not respond to them. We do respond to GPC, as described above.
5. How long we keep it
We keep personal information for as long as your account is active, and afterwards only as long as we need it:
- Account and profile information — for the life of the account, then deleted or anonymized.
- Requests, reservations, and their audit trail — for seven years after the reservation date. Clubs rely on this history to settle disputes and to decide future reciprocity, and we are required to retain billing records.
- Billing records and statements — for seven years, for tax and accounting purposes.
- Legal document acceptances — for as long as the agreement could be relevant, because the record of who accepted what, and when, is the point of keeping it.
- Log and usage data — twelve months.
- Support conversations — three years.
Where information sits in a backup rather than the live database, we isolate it from further use and let it expire on the backup schedule.
6. AI features
We use artificial intelligence in two places, both built on models provided by Anthropic:
Copilot helps club staff work through their queues — summarizing a request, drafting a reply, or answering a question about club policy. When staff use it, the relevant request and club information is sent to Anthropic to generate the response.
Club research and enrichment helps us build and maintain the club directory. It reads publicly available information about clubs — websites, published policies, course details — and drafts structured records for our staff to review. This works on club information, not on member records.
Anthropic processes this information to return a result to us. Under our agreement, it does not use it to train its models. Nothing an AI feature produces is applied to your request automatically: a person at a club always makes the decision to approve, decline, or amend.
We do not use AI to make automated decisions that produce legal or similarly significant effects about you, and we do not use it for profiling.
7. How we protect your information
We use encryption in transit and at rest, role-based access controls, row-level security in the database so that clubs cannot read one another's records, and an audit log of significant administrative actions. Access to production data is limited to staff who need it.
No system is perfectly secure. We cannot guarantee that a determined attacker will never defeat our protections, and you should protect your own account by using a strong, unique password and keeping it private.
8. Children
Recip.club is for adults. We do not knowingly collect personal information from anyone under 18, and members must be 18 or older to hold an account.
A club may enter a guest's name on a reciprocal request, and that guest may be a member's child. We limit guest records to the minimum needed to host the visit — a name, and where the club requires it, an age band for club policy purposes. If you believe we hold information about a child that should not be there, email legal@recip.club and we will remove it.
9. Where your information is held
Recip.club is operated from the United States and your information is stored and processed there. If you use the platform from outside the United States, you are sending your information to the United States, where privacy laws may differ from those where you live.
10. Your privacy rights
If you live in California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you have rights over your personal information. Depending on your state, these include:
- To know whether we process your personal information, and to access it
- To a copy of the information you provided to us, in a portable format
- To correct inaccuracies
- To delete your personal information
- To opt out of sale, sharing for targeted advertising, or profiling with legal effects — none of which we do
- To limit the use of sensitive personal information
- Not to be discriminated against for exercising any of these rights
How to exercise them
Email legal@recip.club, or submit a data subject request. You can also review and update most of your own information by signing in and opening your profile settings.
We will verify your identity before acting, using information we already hold. If we cannot verify you from that, we may ask for more — used only to confirm who you are.
An authorized agent may make a request on your behalf with written, signed permission from you.
If we decline, you can appeal by replying to our decision or emailing legal@recip.club. We will respond in writing with our reasoning. If we deny the appeal, you may complain to your state attorney general.
If your club holds the record
Where your club entered the information, we will usually work with your club to correct or remove it, since they maintain it and may have obligations of their own. We will tell you when that is what is happening.
Marketing and notifications
Unsubscribe from marketing email using the link in any message. Reply STOP to any SMS to stop text messages. Turn off push notifications in your device settings, or adjust which notifications you receive in your profile settings. We will still send you service messages about your requests and your account — those are part of the service, not marketing.
SMS. If you opt in to text messages, message frequency varies with your account's activity. Message and data rates may apply.
No mobile information is shared with third parties or affiliates for marketing or promotional purposes. SMS opt-in data and consent are never shared with third parties.
11. Changes to this notice
We will update this notice when our practices change. The updated version carries a new "last updated" date and a new version number, and previous versions remain available. If a change is material, we will tell you directly — and where the change requires it, we will ask you to accept the new version when you next sign in.
